PTA BOARD MEETING
July 24, 2008
CALL TO ORDER: President Lori Shimoda called the meeting to order at 6:05 PM in the MES library.
VOTING MEMBERS PRESENT: Lori Shimoda, Toby Hirashima, and Lei Fukumura.
NON-VOTING MEMBERS PRESENT: Marissa Ayag-Garcia, Terri Kimura, Ernest Ramiscal, Stephen Figart, Lyanne Yano-Figart, Kirsten Kajiwara, Scott Kajiwara, Deborah Takafuji and Wendy Oumaye.
MINUTES OF THE LAST MEETING: Due to an error, the minutes of the prior meeting were not distributed.
TREASURER’S REPORT: E. Ramiscal submitted the MES PTA Balance Sheet 5/31/08, MES PTA profit and Loss Report 5/31/08, MES PTA General Ledger 5/31/08, Actual vs. Budget 5/31/08, MES Balance Sheet 6/30/08, MES PTA Profit and Loss Report 6/30/08, MES PTA General Ledger 6/30/08, Actual vs. Budge 6/30/08. E. Ramiscal reported that he will provide the 2009 budget and the previous year’s budget at the following Monday’s meeting.
COMMITTEE REPORTS:
Military Liaison – Marissa Ayag-Garcia reported that she is looking at projects within the PTA’s budget. The creation of a virtual video tour of the MES campus discussed. During the discussion about the virtual video tour it was noted that the PTA would have to obtain the permission of any student who appears on the video. It was suggested that filming take place when school is not in session. However, it was noted that campus repairs are often done on “off days” thus the MES campus would not look its best. The creation of a virtual video tour of MES remains under consideration. M. Ayag-Garcia also reported that she was considering bringing in Command for a campus project. In the past Command painted the campus, conducted service projects and assisted Mr. Wong with physical fitness assessments.
MES PTA Website- Stephen Figart reported that he requested that the MES PTA be included on the MES website. He created an on line spreadsheet. In order to build the PTA database registration will be conducted during the upcoming Open House to obtain the names and addresses of individuals in the MES community. The data base will allow the PTA to reach out to the MES community for assistance and target specific grade levels for assistance, when appropriate. He also proposed that committee mailboxes be created so that the organization would not have to rely on the personal email addresses of PTA members which would be subject to change depending on which individual is in charge. He further commented that PTA announcements could be made in summary form on half sheet flyers with a notation that additional information is available on the website. He offered to create a data base of documents for individual committees so that existing documents could be uploaded and it would not be necessary to create new flyers every year. Meeting minutes will also be transferred to the website. The budget will be posted on the MES bulletin board instead of the website.
UPCOMING EVENTS
Open House – Open House is scheduled for July 28, 2008. Registration will commence at 5 p.m. Refreshments will be provided on the lanai between the “B” and “F” buildings. The formal program will begin at 5:45 p.m. The PTA will have 15 minutes to speak before the children to go their classrooms. Assistance is needed with the registration forms and with the refreshment table. It was suggested that the PTA conduct a drawing for a door prize. Only individuals who submit a completed registration form would be eligible for the drawing.
Kindergarten Orientation – The kindergarten orientation is scheduled for Tuesday at 8:30 a.m. Terri Kimura volunteered to assist with the orientation. Additional volunteers are needed.
E-book stuffing is scheduled for July 30, 2008 at 5:00 p.m.
E-book distribution is scheduled for August 1, 2008 at 8:00 a.m.
Sally Foster Fundraiser – A Sally Foster fund raiser is planned. Sally Foster fundraising involves the sale of gift wrapping paper and small gifts. .
Movie nights – Movie nights will be resurrected due to the current state of the economy. During a movie night the PTA could fundraise by selling food to participants.
Other fundraisers – A candy fundraiser would not be permitted. However, the PTA could consider selling healthy foods.
School Community Council – The SCC’s first meeting will be held on August 13, 2008 from 4 p.m. to 5:30 p.m. On the agenda for the SCC’s first meeting is a short forum on GT classes. The SCC will also work on academic and financial plans for the school
NEW BUSINESS
Dissolving the PTA – The PTA is considering the feasibility of dissolving and reforming as a parent teacher organization. In order to do so it would need to create by laws, form a non profit and obtain insurance independently. Currently out of the $5,810 collected in PTA dues, $4,144 is turned over to the national organization. The MES PTA dues are only $1.00 over the national dues thus the MES PTA only retains $1.00 from the membership dues collected from each of its members.
Donations for Halloween Bags – The PTA is seeking donations of toothbrushes and dental floss, from dentists in the MES community, to be included in the MES Halloween bags.
Family activities- The PTA would like to plan activities that would keep families together. It was suggested that the PTA host a sleepover at Sea Life Park or the Bishop Museum. A visit to Leaping Lizards was also suggested.
Portfolio stuffing- President Lori. Shimoda thanked Terri Kimura for organizing the portfolio stuffing which was successfully completed earlier that evening.
ADJOURNMENT: President Lori Shimoda adjourned the meeting at 6:55 p.m.
